Alberta Educations's Off Campus Education Policy states that the school representative will visit the student regularly and may telephone the trainer to check on the student’s attendance and performance.
  • The school representative will advise the trainer that he/she can contact the school representative at any time to discuss the student’s attendance, progress and performance.
  • The school representative will provide the trainer his/her telephone number, and, if the student will be in the work place for credit with the school’s permission during out-of-school hours (including school holidays and summer vacation), provide the trainer with an after-hours phone number at which the teacher can be contacted.
Monitoring can occur through a number of ways that may include:
  • Trainer evaluation forms based on the trainee - It is recommended that as part of the trainee's assessment, 10 % of their grade for each training period/course code, requires that the trainer fill out an evaluation of their trainee's knowledge, ability, performance and attitude.
  • One-on-one meetings with the trainee and the trainer - the school representative is encouraged to meet on a regular basis with the trainee and the trainer. This can be done at the school or over the telephone. This is a great way to discover any training difficulties that the student or the trainer may be having with skill development. The successes and difficulties should be shared with the regional coordinator so that training resources can be addressed, changed or developed.
  • On-site visitations - the school representative acts on behalf of the school authority, and therefore must not only perform a work site approval, but ongoing visitations of the work site as training progresses.
The off-Campus Education Guide (page 76,77 ) suggests that during monitoring, the school coordinator should be assessing the following:
    • Is appropriate learning and skill development occurring, including a variety of experiences relating to program goals?
    • Is the training situation safe and appropriate for the student?
    • Is there good communication between the employer and the student?
    • Is the training plan accurate or is a revision required?
    • Is the work site supervisor satisfied with the student? Are improvements needed? Is necessary, how can they best be instituted?
    • Is the student satisfied with the work site? Are improvements needed? If necessary, how can they best be instituted?
Ongoing monitoring assists the school representative with further assessment of the trainees' progress. Monitoring also ties readily into supporting additional training of the student and feedback to the regional coordinator in the delivery of the program

As part of your trainee monitoring, and as you deliver the program, there may be issues that arise upon which a grievance or complaints might be made. Please view the Complaints and Grievances Guidelines.
